ScootBooks ("we", "our", "us") is operated by ScootBooks (Pty) Ltd, a company registered in South Africa. This privacy policy explains how we collect, use, share, and protect personal information when you use the ScootBooks platform.
We comply with the Protection of Personal Information Act (POPIA) of South Africa, and with the requirements of the platforms we integrate with, including Meta's WhatsApp Business Platform.
1. Who this policy applies to
This policy applies to two types of people:
- Owners: scooter rental business owners who sign up to use ScootBooks to manage their fleets
- Drivers: the drivers renting scooters from those owners, who interact with ScootBooks via WhatsApp
2. What information we collect
From owners
- Name and contact details (email, phone number)
- Business name, business registration number, and address
- Bank account details (collected and held by our payment partner, Paystack — not by us)
- Identification documents (ID or CIPC documents) for verification
- Login credentials (managed via secure authentication, no passwords stored by us)
From drivers
- Name and contact details (phone number, optionally email)
- Identification details (SA ID number, passport number, or asylum permit number depending on driver's documentation)
- Nationality
- Next-of-kin contact details
- Card details (collected and tokenised by Paystack — we never see or store full card numbers)
- WhatsApp message history within the ScootBooks conversation
- Payment history, contract details, and scooter assignment
Automatically collected
- Device and browser information
- IP address and approximate location for security purposes
- Usage analytics (page visits, feature usage) for service improvement
3. How we use this information
We use personal information to:
- Provide and operate the ScootBooks platform
- Process driver payments to owners via Paystack
- Send WhatsApp notifications about payments, contracts, and arrears
- Verify identity for fraud prevention and POPIA compliance
- Improve the platform and develop new features
- Comply with our legal obligations (tax, anti-money-laundering, court orders)
We do not sell personal information to third parties. We do not use personal information for advertising.
4. Who we share information with
We share specific data with the following service providers, only as needed to operate ScootBooks:
- Paystack (Pty) Ltd — for payment processing and card tokenisation
- Meta Platforms Ireland Limited — for delivering WhatsApp messages to drivers
- Supabase Inc. — for secure data hosting
- Anthropic PBC — for processing uploaded service invoices via AI (only the invoice content, no personal identifiers)
- Vercel Inc. and Railway Corp. — for application hosting
Each of these providers operates under their own privacy and security policies. We share only the minimum data necessary for them to perform their function.
We may also disclose information when required by law, by court order, or by a regulator such as the Information Regulator of South Africa.
5. How long we keep your data
We keep personal information for as long as your account is active, plus a reasonable period afterwards to comply with legal, accounting, and audit requirements (typically 7 years for financial records as required by South African tax law).
When data is no longer needed, we delete it securely or anonymise it so that it cannot be linked back to you.
6. Your rights under POPIA
As a person whose information we process, you have the right to:
- Access the personal information we hold about you
- Correct any inaccuracies in that information
- Delete your personal information (subject to legal retention requirements)
- Object to certain types of processing
- Withdraw consent where processing is based on your consent
- Complain to the Information Regulator if you believe we've mishandled your data

7. How we protect your information
We use industry-standard security measures including:
- End-to-end encryption for data in transit (TLS 1.2+)
- Encryption of sensitive data at rest
- Multi-factor authentication on internal systems
- Strict access controls — only authorised personnel can access personal information
- Regular security audits and monitoring
No system is perfectly secure, but we take reasonable steps to protect your information against unauthorised access, loss, or misuse.
8. International data transfers
Some of our service providers operate in countries outside South Africa, including Ireland, the United States, and the European Union. Where this happens, we ensure that the providers offer adequate protection through approved transfer mechanisms (such as Standard Contractual Clauses).
9. Children's data
ScootBooks is not intended for use by anyone under 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact us so we can delete it.
10. Changes to this policy
We may update this privacy policy from time to time. When we make material changes, we will notify owners by email and post a notice on the ScootBooks platform. The "Last updated" date at the top of this page indicates when the policy was most recently changed.
